At Katalyst, we value your privacy and are committed to protecting your personal information. We manage all personal data in accordance with the Privacy Act 2020, including the IPP3A principles regarding indirect collection, and other relevant New Zealand legislation.

Information We Collect

We collect personal information to deliver our services, including details about your:

  • Identity: Name and verified identity documentation.
  • Contact & Location: Physical and digital contact information and location data.
  • Interactions: Records of your communications and engagements with us.
  • Financials: Billing or purchase information.

Indirect Collection (Information from Others)

Sometimes we receive personal information about you from third parties rather than directly from you. We do this to ensure we can provide smooth, comprehensive services and meet our legal duties. This happens when:

  • Another financial professional you work with, such as your accountant, shares mutual client details with us.
  • We help you implement, migrate, or support small business software, and your details are transferred to us via platforms like Xero, iPayroll, PayHero, or WorkflowMax.
  • You are referred to us by a business partner or through networking groups like BNI.

Why We Collect It

We collect this information in order to:

  • Provide our professional bookkeeping, software setup, and reporting services to you.
  • Liaise with government organisations, such as Inland Revenue.
  • Comply with our legal obligations under the Anti-Money Laundering and Countering Financing of Terrorism (AML/CFT) Act 2009.

Note: Providing some information is optional. However, if you choose not to provide verified identity documentation, we will be unable to provide services captured under the AML/CFT Act 2009.

How We Share and Protect Data

We only share this information with third parties (such as law enforcement or regulatory bodies) when necessary to comply with our legal requirements.

To keep your information safe, we:

  • Store data in secured systems with two factor authentication and password-only access.
  • Limit access to authorised staff and auditors only.
  • Retain information for five to seven years from the date of our last interaction, or in accordance with regulatory requirements, after which it is securely destroyed via digital erasure or physical shredding.

Your Rights

Under the Privacy Act 2020, you have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you believe it is incorrect.
